Abstract
The House Rental and Tenants Payment Report System is a PHP–MySQL based web application developed to automate the management of rental properties, tenants’ information, and payment records. This system allows landlords or property managers to register houses, manage tenant profiles, generate rent invoices, and track payments. Tenants can log in to view their rent history, download receipts, and make online payments. The system also produces monthly or yearly payment reports for auditing and analysis. By digitizing the rental process, it reduces paperwork, minimizes errors, and increases transparency between property owners and tenants.
Existing System
Traditionally, house rental management and tenant payment tracking are handled manually using paper records, spreadsheets, or basic standalone applications. Landlords have to maintain separate registers for tenants, payments, and property details, which often results in scattered information, delayed updates, and increased chances of errors. Tenants typically pay rent in cash or via bank transfer without an integrated record-keeping system, making it difficult to produce consolidated reports or track overdue payments. This lack of automation leads to inefficiency, poor communication, and limited transparency.
Proposed System
The proposed House Rental and Tenants Payment Report System automates all aspects of property rental management using PHP and MySQL. Landlords can register properties, assign tenants, generate digital invoices, and track payments in real time. Tenants can securely log in to view their rental details, payment history, and download receipts or pay online. The system automatically calculates overdue amounts, generates reminders, and produces comprehensive reports on rent collected, outstanding payments, and occupancy rates. By offering a centralized, secure, and user-friendly platform, the system improves efficiency, enhances financial transparency, and simplifies property management for landlords and tenants alike.
